Opening a med spa

Opening a med spa: the software you actually need.

A new med spa has an empty chair and a phone that rings while the practitioner is with a client. The software that matters fills the chair: catches the enquiry, books the consult, reminds the client, follows up when they go quiet, and asks for the review. Here is what to set up and what to leave for year two.

The short answer

A new med spa needs four things from software: one inbox where calls, texts, email and website enquiries land, with a text back on a missed call; a public booking page with automatic reminders; follow-up sequences that turn a consult into a booking and a quiet client into a return visit; and review requests after a treatment. Relay does all four with a free plan. Add ReputeLift when you want every client asked the same way. Leave memberships, EMR integration and marketing suites for year two.

What fills the chair in the first six months

  1. Every enquiry in one inbox. A med spa enquiry is a text at 9pm, an Instagram message, a website form, a call during a treatment. If they land in four places, the 9pm text is the one that gets answered tomorrow. See missed call text back.
  2. A booking page with reminders. The client books the consult from their phone, gets a confirmation, and gets a reminder before the appointment. The reminder is what cuts no-shows; the no-show is what empties a new spa's day.
  3. Follow-up that runs itself. The consult that did not book, the client who has not returned in twelve weeks. A sequence in your words, that stops the moment they reply. See lead follow-up automation.
  4. The review request. The day after a treatment, every client, the same message, the Google link in it.

What to skip in year one

  • A membership and package engine. Memberships are a year-two product when you know your retention. Sell single treatments and packages by hand first.
  • EMR or charting integration with your CRM. Your charting and consent system is a clinical tool and a compliance matter; keep it separate and keep the CRM to the conversation and the booking.
  • A full marketing suite. Before-and-after content a few times a week from one calendar is enough. SynthPrism schedules that from a prompt; its free plan covers one brand, and if Instagram publishing is central to your plan, read its FAQ on which platforms are wired today before you subscribe.
  • A separate reputation dashboard. Ask for reviews first. Measure them once there are some.

What we would start a new med spa on

Relay, as the CRM

Built around one shared inbox so no enquiry sits in a channel nobody is watching: contacts, companies and a pipeline view, email, SMS and chat in a single inbox, workflow automation and follow-up sequences, a public booking page and review requests, and full data export at any time. An AI front desk that answers the phone when you are with a client, takes details and books where it can, is an add-on; it answers our own line. A connected Facebook and Instagram inbox is built and going through Meta's app review before it opens to customers; until then, calls, texts, email and forms are the channels. Free plan to start. Relay pricing.

ReputeLift, for reviews

A client picks a med spa by reviews and you are starting at zero. ReputeLift asks every client by SMS or email with your Google link, with no gating and opt-outs enforced on every send. It does not pull reviews in from Google or post replies for you; you add the reviews you receive and copy a drafted reply across. See review automation.

Mycel, from month two

Treatment preferences, what was quoted, which client asked about the next package. Mycel is where the business remembers that once Relay and ReputeLift are connected, with a ranked list each morning of what needs you. Free tier.

The whole new-business stack is on the hub page, including the TradesBackbone option for businesses that send estimates for jobs.

Set it up in an afternoon, in this order

  1. Sign up for Relay, pick the plan whose text allowance fits (the free plan is the place to look first), add your business number, and connect the website form to the inbox.
  2. Write the missed-call text in your own words and turn it on.
  3. Build the booking page for a consultation, set the reminder timing, and book yourself in from your phone.
  4. Write one follow-up sequence for the consult that did not book. Three messages, in your voice, that stop when they reply. Approve it before it goes live.
  5. Set the review request and confirm the Google link opens your listing. If any step is confusing, tell us; that is the feedback that shapes the next version.

Where we are, honestly

Martello Systems is a small team, led by Artie, directing an engineering fleet. Relay runs our own business and is still young; it is not a med-spa-specific platform and it does not do charting. Early customers get a direct line to the team and shape what ships next. There is no early-user discount. If you want the most established aesthetics platform on the market, a bigger vendor is the safer pick and we will say so on the call.

Questions

Questions people ask

What software do I need to open a med spa?

One inbox for calls, texts, email and website enquiries with a text back on a missed call; a public booking page with automatic reminders; follow-up sequences that turn a consult into a booking; and review requests after treatment. Relay does all four with a free plan. Keep charting and consent in a clinical system, and leave memberships and marketing suites for year two.

Does Relay do charting, consent forms or medical records?

No. Relay is the conversation, the booking and the follow-up. Charting and consent are a clinical and compliance matter and belong in a system built for that. We would rather say that clearly than sell you a CRM as an EMR.

How does a new med spa cut no-shows?

A booking page that sends a confirmation and a reminder before the appointment, and a deposit if your policy needs one. Relay's public booking page sends the reminders; the rest is the policy you set.

Can Relay answer the phone while I am with a client?

Yes, as an add-on. The AI front desk answers, takes the caller's details, books where it can and hands complex calls to a person. It answers our own line. Missed-call text back, which sends a text instead of answering, is built into Relay.

What does the software cost for a new business?

Each product publishes its own pricing on its own site and we link to those pages rather than repeat the numbers, because the live page is the one that is true. Every product has a free plan or a free trial you can start today without a call, and none of them requires an annual contract. There is no special new-business discount and we would rather say so than invent one.

How mature is this software?

Live, running our own business every day, and still young. Martello Systems is a small team, led by Artie, directing an engineering fleet, and the products are shaped by the people using them. Early customers reach the team directly, and what they ask for is what ships next. If you want the most polished option on the market, a bigger vendor is the safer choice and we will tell you that on the call.

Can you set it up for me?

Yes. The studio's done-for-you service sets up the stack around your business, writes the first-reply, follow-up and review messages with you, migrates any contacts you already have by export, and runs it month to month. It is quoted on a 15-minute call; see the pricing page. Most new businesses start self-serve and call when the volume outgrows the owner's phone.
