How we collect, use, and protect your personal data.
Welcome to Martello Systems. We respect your privacy and are committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website and tell you about your privacy rights and how the law protects you.
Personal data, or personal information, means any information about an individual from which that person can be identified. We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:
Identity Data includes first name, last name, username or similar identifier. Contact Data includes billing address, delivery address, email address and telephone numbers. Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website.
We may share your personal data with external third parties such as service providers acting as processors who provide IT and system administration services, professional advisers including lawyers, bankers, auditors and insurers, and regulators and other authorities who require reporting of processing activities in certain circumstances.
Our contact form and website chat run on Relay, a CRM we build and operate ourselves, so the messages and contact details you submit through them are stored on our own systems rather than with an outside marketing vendor. Third-party processors we use include Google LLC (Google Analytics, described below), Brevo (transactional email delivery when we reply to you), and our hosting and infrastructure providers. These providers process data on our behalf and under their own privacy terms.
Calls to our published phone number are answered by an automated AI front desk. Calls are recorded and transcribed, and the greeting tells you so at the start of every call. To handle a call, the audio and its transcript pass through the following processors: Twilio (telephony), Vapi (the real-time voice platform, which carries and records the call audio and synthesises the agent's speech), Deepgram (speech-to-text transcription), and Anthropic, PBC (the AI model that generates responses, reached through a gateway we operate). Contact details you give on a call, such as your name, phone number, or email address, are saved to our CRM so we can follow up, which is the purpose of the call.
Recordings and transcripts are retained while they remain relevant to your inquiry or our business relationship, and are deleted on request. If you prefer not to be recorded, say so on the call or email [email protected] and we will delete the recording.
Our website uses Google Analytics (GA4) to understand how visitors find and use our site, and an embedded chat widget powered by our own Relay platform. Google Analytics is provided by Google LLC acting as a processor on our behalf and sets cookies on your device; the chat widget stores a conversation identifier in your browser so your chat can continue across pages. You can control, block, or delete cookies through your browser settings; doing so may affect how some features of the site work.
If you are a California resident, the California Consumer Privacy Act (CCPA) gives you the right to know and access the personal information we collect about you and the right to request that we delete it. To exercise these rights, you may request access or deletion by emailing us at [email protected].
Do Not Sell or Share My Personal Information: Martello Systems does not sell your personal information, and we do not share it for cross-context behavioral advertising. Because we do not sell or share personal information, there is nothing to opt out of in that respect; you may still contact us at the address above with any questions about your data.
You may request that we delete the personal data we hold about you. To do so, email us at [email protected] with the subject line "Data deletion request." We will respond to your request within 30 days.
We may transfer, store, and process your information in countries other than your own. Whenever we transfer your personal data out of your jurisdiction, we ensure a similar degree of protection is afforded to it by ensuring appropriate safeguards are implemented.
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know.
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements.
Under certain circumstances, you have rights under data protection laws in relation to your personal data, including the right to request access, correction, erasure, restriction, transfer, to object to processing, to portability of data and (where the lawful ground of processing is consent) to withdraw consent.
As an AI solutions provider, we may utilize artificial intelligence technologies to process data. We ensure that any automated decision-making processes are transparent, fair, and subject to human review where legally required or appropriate.

We keep our privacy policy under regular review. This version was last updated on the effective date listed at the top of this page. It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.
