What missed call text back is

Missed call text back is a rule on your phone line: if a call rings out, the caller gets a text from the same number they just dialled. Not a call back, not an email, not a form. A text, because the person is already holding their phone with your number on the screen, and a text is the one thing they can answer without stopping what they are doing.

The text does two jobs. It tells the caller they reached a real business that noticed them, and it gives them a way to say what they wanted without having to call again. When they reply, the conversation is open, it has a name and a number attached, and it is sitting in your inbox waiting for you.

Why a voicemail loses the job

A voicemail greeting asks the caller to do work: listen to a recording, wait for a beep, explain themselves to nobody, and then wait with no idea when or whether you will ring back. Someone with a burst pipe or a dog that needs boarding by Friday is not going to do that. They hang up and dial the next business in the search results.

Even the callers who do leave a message are now waiting on you, and you are still on the ladder. By the time you listen to it, they have often booked with whoever answered. The missed call is not the problem. The silence after it is.

A text closes that gap. The caller sees, in the same second, that you noticed. They can type what they need in one line. You get that line as a message in your inbox instead of a voicemail you have to find time to play back.

Exactly how ours works

This is the mechanism as it runs in Relay, the software we build and operate. It is the same system that answers our own line.

  1. A call to your number rings you first. Your phone, the way it does today. Nothing about who answers your phone changes.
  2. If nobody picks up, one text goes out from your number. Not from a short code or a random number the caller will not recognise. The text is the exact wording you approved when we set it up. It is sent once per missed call, never twice for the same call.
  3. Withheld and anonymous numbers are not texted. If the caller blocked their number, there is nothing to text and no record is created for a number that cannot be reached. The call is logged and that is the end of it.
  4. The reply lands in your inbox. When the caller texts back, the message arrives in the same inbox as your other texts, emails and web form enquiries, in one thread per customer. The thread already shows that they called, when, and what number they rang.
  5. A person or the AI front desk picks it up. If you are free, you answer from your phone. If you are not, the AI receptionist can hold the conversation, take the details, and book where it can, then hand anything complex to you.
  6. It works at night. A text that answers a call the customer just placed is a reply, not marketing, so it goes out the moment the call is missed, whatever the hour. Nobody is woken by it; they were the one who rang.

Two things it deliberately does not do. It does not text a caller who is at that moment talking to the AI front desk; a "sorry we missed you" message to somebody mid-conversation makes a system look broken. And it does not text anyone who has opted out of messages from you.

What the text should say

Short, from a person, with a question the caller can answer in one line. The wording is yours; we draft it, you approve it, and it goes out exactly as written. These are examples of the kind of message owners approve, not a script you have to use:

  • Example 1, general. "Hi, it's Sam at Ridgeway Plumbing. Sorry I missed your call, I'm on a job. What can I help with? Reply here and I'll get straight back to you."
  • Example 2, booking-led. "Hi, this is Northside Cleaning. Sorry we missed you. If you'd like a quote or a date, reply with your address and what you need and we'll sort it today."
  • Example 3, after hours. "Thanks for calling Alder Electrical. We're closed for the night but we've got your number. Reply with what's going on and we'll call you first thing."

What to leave out: links the caller has to tap, requests for more than one piece of information, and anything that reads like an automated system. The whole point is that it reads like you.

How it fits with the 60-second reply and the AI receptionist

Missed call text back is one piece of a three-part answer to the same problem: a customer reached out and nobody was there.

  • The 60-second first reply covers every other channel. A web form, a text or an email gets a first touch inside a minute, in a message you approved. A missed call from a new number counts as a new lead, and the missed-call text is that first touch, so the caller does not get a second "we got your message" on top of it.
  • The AI receptionist covers the call itself. If you want the phone answered rather than texted, the AI front desk picks up when you cannot, takes the details, and books where it can. When it has the call, the missed-call text stays quiet.
  • Follow-up covers what happens if the caller never replies. The conversation stays in a follow-up cadence until they answer, book, or opt out.

It is not for a business whose customers mainly call from landlines or switchboards that cannot receive a text. Does the text come from my own number?
